SNAP HAPPY MEDIA - TERMS & CONDITIONS
The following are our Terms and Conditions of Business. By completing our Booking Form you are agreeing to and have accepted the following terms and conditions.
Terms :“YOU", "YOUR” “Your Guests” means you the client and your guests.
‘WE’ “US” “OUR” means SNAP HAPPY MEDIA, the service provider and/or employees of Snap Happy Media. We operate from 60 Cathkin Crescent, Cumbernauld, Glasgow. G68 0FB.
‘Booking Form’ refers to the Booking Form contained on our web site or sent to you via email or any signed and printed version of this form.
“VENUE” refers to the address of the premises where the Photo Booth is to be delivered and operated.
“EVENT” refers to the specific event that has been booked using the booking form.
Venue Access and Location
It is up to you to ensure that we are provided with the correct address information for the venue and that the venue providers allow reasonable access for loading and suitable parking once the booth and equipment has been unloaded. If parking for loading is restricted you will be liable for any fines that occur as a result. If parking is charged for, you will be liable for all reasonable and unavoidable parking charges.
Events Beyond Our Control
We will make all reasonable efforts to attend your event. Where circumstances make this impossible, such as, but not limited to, adverse weather, traffic delays or vehicle breakdown, we will contact you or the venue as early as possible and a full refund will be made.
Set Up of Booth
It is up to you to ensure that the venue agrees to us being in attendance at the agreed time. We will be happy to liaise with the venue to assist, if requested. We will require an electrical plug socket located within 5 metres of the booth, a flat working space of at least 3x2 metres with a height clearance of 2.25 metres.
Our employees will arrive to setup approximately one hour before the hire period is due to commence. The hire period will be for a set period, typically 4 hours, but as specified in the Booking Form. Use will commence at the agreed time and finish at the agreed time. If for any reason we are not able to commence at the agreed time due to matters concerning us only, We will be happy to extend the end time of hire to make up for a late start. If we cannot start on time due to poor access or not being allowed access as required due to the VENUE or other such circumstances, We will keep to the agreed end period for the hire. If your event simply starts late or runs late, OUR period of hire will still be for the agreed period and times unless we agree to provide additional hours as per our package additions or to simply delay our planned start.
Termination Of Hire
We will not tolerate any abuse or threatening behaviour to any of our staff or abuse of the booth or booth equipment, including items in the prop box. If this occurs we retain the right to terminate the hire immediately. This applies equally to you and your guests. The COMPANY may terminate the hire in cases where our staff feel the equipment belonging to us or the booth itself is in danger of being damaged or has been damaged due to the actions or unruly behaviour of you or your guests. Wherever possible and reasonable to do so we will speak with you and/or the venue first to try to resolve the matter before any termination is enacted. If we do terminate, for any reason, the full cost of hire will remain due and we will not issue any refunds for any period of hire not provided. The decision to terminate the hire remains with our employees at all times in relation to their safety and the safety of the equipment. Moreover, you will be fully responsible for any damages caused by you or your guests or other attendees at the event to the booth or booth equipment howsoever caused, with the sole exclusion of our Staff.
A non-refundable initial payment of £100 is required on booking to secure the date and can be paid via Bank Transfer (details available) or by cheque made payable to Snap Happy Media and sent to Snap Happy Media, 60 Cathkin Crescent, Cumbernauld, Glasgow. G68 0FB. The remaining balance is payable in full 20 business days prior to the event. Events with less than 20 days to the date of the event must be paid in full when booking.
Cancellation or Postponement
If an event is cancelled or postponed by you or your venue within 20 business days of the event date then you will remain liable for the FULL FEE which was agreed for the booking. If it is outwith this period of 20 business days, you will forfeit your initial payment. If you wish to postpone the event and have paid your full fee, we will make every effort to rebook your event to a mutually agreed date. An administration fee of £100 will be applied to your account to enable the booking to be changed. Postponed bookings will only become a booking once we receive your administration fee and will be bound by these terms and conditions as a new booking.
In such circumstances where we have to cancel your booking, we will notify you as early as possible. Bookings are normally accepted on a first come first served basis, subject only to geographical and logistical variances. We will assist in booking your event with another local supplier should this happen. If we cancel your booking we will refund all monies paid in full.
Use of Photos
Photos taken during the event may be used by us to assist with advertising and promotion of our COMPANY. This may include printed matter as well as online images. All images used must be of a nature and form suitable for publication. Copyright remains with us all times regardless of permissions to reproduce prints by you.
We will in all instances, act in the best interests of the client and to take steps when required to act to protect the health and safety of booth users and our employees. Where such actions lead to an early closure of the booth, removal of the service of the booth or other such action likely to cause distress or dissatisfaction, we will limit any refunds to the amount of the original booking fee less the non-refundable initial payment. This applies to all cases.
Agreement To Terms and Conditions
In the event of any conflict, these Terms And Conditions shall be taken as “those in place” and be taken as those in place over any other wording on our web site.
These Terms and Conditions may be changed by us without notice to you but Terms And Conditions must be in place for a minimum of 10 days prior to any event otherwise previous Terms And Conditions shall be deemed to apply to that event and therefore material to your agreement. Other terms or wording shall only be deemed to be agreed if so agreed in writing by us and you These terms and conditions will remain in place on the website and can be accessed by you at any time. The terms and conditions on the website at the time of your event shall be those considered to be valid for you. Additional Terms And Conditions may be added as seen fit by us. By completing our Booking Form you are agreeing to, and have accepted, these Terms And Conditions of hire.
